Imagine, for example, that you want to send an email to each student with their grade from the latest exam. For data protection reasons, you cannot send a single file containing all the grades to all the students, but sending each message one by one is tedious and inefficient. In these cases, you could send a single automatic notification so that each student receives a personalized message containing only the information that concerns them, without seeing any data belonging to their classmates. Here's how to do it:
To create this type of notification, click Applications > Notification Builder. On the next screen, click Create New and fill in the requested information through 5 steps:
- Step 1: If you want the notification to be sent to a group of recipients, with each recipient receiving personalized information, select Distribution list under Delivery type. Then, under Dataset list, select the table containing the information you want to send (it must have a column containing email addresses), proceed to Select email column, and, if desired, apply the Filters available in the selected dataset so that you do not send all the information to the recipients.
- Step 2: Name and description of the notification.
- Step 3: Subject and message of the email that will be sent with the notification. In both cases, by clicking Marker or Placeholders , respectively, you can enter descriptive variables that will provide each recipient with their specific values, allowing you to personalize the notification with the student's name, course, grades, etc.
- Step 4: Attachment (the Dataset or Dashboard you want to attach) and the format in which it will be sent (Excel, CSV, or PDF). Through Filters , you can restrict delivery to only some of the users in the dataset—for example, only instructors. To do this, the filters must have been previously defined in the IntelliBoard item you want to attach.
- Step 5: You can log the notification in the InContact tool by completing the corresponding fields. But the most important thing is to set the notification delivery schedule. Before finishing, we recommend opening the Notification preview to verify that everything is correct. Finally, click the Save changes button, or click the arrow if you also want to send the notification immediately.
