When we finish adding questions to an institutional survey, it will be time to create a response period to start collecting results. To do this, we will click Create response period. If you prefer, you can return to the survey list under Admin Panel > Tools and Utilities > Institutional Surveys and access creating response periods from the menu of the particular survey.
A response period has several elements, spread across different tabs:
- Detailed summary. We will give the response period a name and choose whether anonymous responses are accepted or not.
-
Select recipients. Here we can choose who will receive the invitation to answer the survey. It can be chosen using different criteria.
- Places. We can choose courses and organizations, or only those corresponding to certain periods, and also within those courses, one or several roles, both from the entire server, a node, or specific courses.
- Users. We will select users with a certain institutional role either from the entire server, a node, or specific users.
- Upload email addresses. With this option, we can send the request to complete the survey to whoever we want. We will upload a file with the list of email addresses of the recipients and that's it.
By clicking Calculate in the right corner, we will get the number of survey recipients at this moment. We will finish by clicking Save and continue.
- Notify. In this tab, we will choose the method of notification to users. This will be by email. Additionally, we can customize the messages users will receive when submitting survey responses. Select email as the notification method, and also add the email address from which messages will be sent and where undeliverable messages will be returned.
-
Scheduling. In this last tab, we will schedule the notification sending and the survey opening. We can choose to open it now, later, or on a certain date. The same applies for closing it.
-
Survey reminder. These reminders are sent to recipients who have not answered the survey. We can create reminders by clicking the button. For each reminder, it is necessary to specify:
- time interval or a specific date when they will be sent
- sending frequency (if we want it to repeat, for example, every 24 hours)
- Subject and message of the reminder
- Text of the link to the survey
-
Survey reminder. These reminders are sent to recipients who have not answered the survey. We can create reminders by clicking the button. For each reminder, it is necessary to specify:
If the survey has been marked to send Later, a button to launch it will appear in the response periods table.
Once launched, we will wait for the recipients to answer it, and then we can view the responses and analyze the results.
